Private PA/Fleet Manager (UHNW Luxury Cars) W1 (5 days on site)
We are looking for an experienced Private PA who has looked after a private collection of luxury  performance cars as part of their remit. This will be approximately 25% of the role.  A  highly organised individual to oversee the day to day management of a private collection of luxury and performance vehicles based across the UK and Europe.

The role spans the routine and the complex. On any given week it may involve arranging a valet before client arrival, chasing a warranty claim, and organising a multi car movement to a track event. The successful candidate will be equally comfortable with both, with no task considered too small.

This is an excellent opportunity for a proactive, detail oriented professional with a genuine interest in high performance vehicles and have top admin & Excel skills.

The confidence to liaise with manufacturers, service providers and internal stakeholders. Previous experience managing vehicles or working in an UHNW fleet related environment would be highly advantageous.

Private PA Support

Working alongside the Head of Operations you will provide support on the day to day Private PA support required to the UHNW Principals in addition to looking after the luxury car fleet.   Property management and oversight of travel logistics/itineraries, staffing administration & research.  Maintenance and repairs, dealing with contractors.  Attend site visits and maintain accurate records with regard to schedules, invoices and payment tracking.  Build and maintain operational manuals, household guides, supplier directories etc

Oversee the day to day management of a private fleet of luxury and performance vehicles across multiple locations
Maintain accurate vehicle records, documentation and reporting systems
Monitor servicing, maintenance schedules, MOTs, registrations and warranties
Coordinate with manufacturers, dealerships and approved service providers
Manage the presentation standard of the fleet at all times, including regular cleaning, detailing, storage conditioning and pre event preparation
Organise track days, and motoring events, including entries, transport and on site logistics
Arrange transportation and logistics for vehicles, including international movements, carnets, customs documentation and temporary import requirements
Manage vehicle storage arrangements, including climate controlled facilities, battery conditioning, tyre care and seasonal layup
Maintain provenance and history files for collector vehicles, including service records, mileage discipline and event eligibility documentation
Manage insurance arrangements, including agreed value policies, driver additions and event specific cover
Oversee vehicle security, tracking devices and key management
Obtain and review quotes, manage supplier invoices and monitor fleet running costs
Track vehicle movements and ensure all fleet data is updated accurately
Ensure compliance with all legal, insurance and operational requirements
Identify opportunities to improve fleet efficiency and operational processes
Support the wider team with administrative and operational duties as required

REQUIREMENTS

Senior Private PA experience and experience as a Fleet Manager for a luxury/performance fleet of cars.
Equally comfortable with hands on practical tasks and complex multi party logistics
Strong Microsoft Excel skills, essential
Exceptional organisational and administrative ability
High level of attention to detail and accuracy
Genuine interest in luxury, prestige or performance vehicles
Excellent communication and stakeholder management skills
Ability to manage multiple priorities in a fast paced environment
Professional, proactive and solutions focused approach
Clean full UK driving licence
Flexibility to work occasional evenings and weekends around events and vehicle movements
Ability to travel within the UK and Europe at short notice
Salary comes with private medical, bonus + 28 days holiday
