Experienced Private PA - UHNW Family (Central London)

One of our top clients, an UHNW family with hugely busy lives and wide interests is seeking an experienced, dedicated and personable Private PA with excellent all round skills and experience to support their family with the administration and coordination of their lives as well as the efficient and professional management of their household within Central London. Working within the household and Central London Office when required. Working with a wider network of fabulous EAs that all support each other. 

As their lynchpin, you will be a central role in the family’s day to day lives and privileged to sensitive & confidential information; therefore, the importance of discretion, confidentiality and upholding the family’s values and Principals' are key at all times. A positive and professional approach is a must with a genuine love for children (3 in the household) and a inherent understanding of how to run a UHNW home. 

The family are very personable and lead extremely busy lives so require a highly organised Private PA with emotional intelligence and a flexible approach who can hit the ground running. A successful candidate will have worked with a HNW/UHNW family before and understand the importance of building time and flexibility into their schedules allowing for quality time with their children. 

You will oversee all household accounts and manage the household budget.  Support the Family with all administrative work for the principals children, liaising with the nursery and schools, medical matters, insurance etc.

Dealing with all international and national travel for the family including detailed itineraries.  Private jet co-ordination co-ordinating  with the Family Office. Assisting with family members and friends when required with regard to travel and co-ordination, dealing with visas, passports ad currency.

Organising all private dinners, events, travel commitments and weekly, monthly, quarterly and yearly reminders.  Proof reading all personal correspondence and document.  Respond to international offices in a professional manner.  Process invoices and submit checked invoices.

Recruit all household staff, including nannies, liaising with agencies for the family ensuring their skills sets are aligned with the requirements and references checks have been carried out.oversee the management of house staff, including their contracts and annual leave.

Manage communication and draft replies when required.  Deal with emails and correspondence to a high standard and deal with phone calls/message in a professional manner.

You will also support the family in the coordination & overseeing of the redevelopment and future maintenance project for their new residence in central London. A PA with experience working on large scale renovation projects, house moves and implementing household staff and new working schedules will be most beneficial. 

Liaising closely with architects and projects managers,  making sure that all invoices are in accordance with fee estimates and paid on time. Maintain the fee tracker spreadsheet for the project, making sure that the budget is on track and update the Principal regularly on the status of the fees. Liaise with the Principals’ legal counsel on insurance related matters linked to the project and update the Principals’ as required .  Updating the Family with all matters with regard to the residence before sign off has been completed.

Support the coordination and planning of home maintenance and security issues at the Principals' residences, attending on site as and when required. Manage utility bills, family vehicles, other household day to day requirements for all properties. Research and purchase household items for the family as and when requested.  Compiling household bible for the Family.

There is also involvement in philanthropy projects to include collating relevant documentation, research and organising world wide travel in relation to projects. Organising events and budgets - attending these events when required and occasional travel with the Family when required.

This is an interesting and multi tasking role which will absorb you and use all of your skills.

You will have 5 years+ experience as a Private PA for an UHNW/HNW Family + degree standard and excellent English skills both written and spoken.  Flexibility when needed and a hands on, get it done approach to your role is needed.  Top role for top Private PA with a cv demonstrating this.
