This incredibly diverse and successful UHNW family office in Mayfair are seeking an experienced Legal or Financial experienced Executive Assistant to join their small team. Supporting the likeable and respectful MD and CFO you will be the right hand to them.

Duties include (but not limited to):

1. Legal / Financial

  • Working with legal and financial documents, including reviewing and understanding them as well as understanding the financial impacts of these documents. The work is related to properties and financial transactions, both corporate and commercial. Should know how to prepare investment memorandums within Excel based on information collected. Reconciliation of accounts, assisting accountant with month end.

2. Administrative

  • Maintaining updated and well-organised transaction and corporate files and records
  • Answering the phone, meeting and greeting guests, serving refreshments during meetings as required and ensuring the office is always immaculate
  • General administration
  • Booking travel, arranging visas
  • Arranging couriers
  • Some diary management and arranging meetings, maintaining extensive contacts database, maintaining manual and shared computer filing systems correctly.

Skills / Experience / Qualifications:

  • Must have had at least 7 years’ experience in PA role with a relevant degree or diploma.
  • High standard of spoken English plus excellent spelling and grammar (if not native English speaker, then ability to speak and write to native speaker standard)
  • Ability to take dictation and type to at least 50wpm
  • Intermediate to Advanced Outlook, Word, Excel, PowerPoint, Visio
  • Ability to prioritise effectively and multi-task
  • Ability to remain calm and patient
  • Professional, dedicated, happy to be available by phone after hours Strong organisational skills Team worker

A great role has arisen for an experienced Private PA used to working for a family with a full social life and business life.  A dynamic couple (Italian husband) both with separate businesses are looking for a highly competent and experienced Private PA with good Italian language skills to run the London residence and deal with all staff and property matters.  The couple entertain also so a high level of organisation skills, style and acumen in that area is needed.

The Principal is gearing up to buy a large property in Italy that you will also be involved with in the future.  Some travel to Italy will be within the role in the future and liaison with extended family.

A CV demonstrating 6-7 years+ as a senior Private PA within a household/office and a wide remit of skills and ability is essential.  The couple also have two young daughters and a puppy so your day will be very busy and varied.  Able to lead by example and have very high standards.  You will be flexible, hands on, proactive with a positive and helpful personality.

Able to manage a very busy private diary and schedule (for both Principals) private meetings and appointments, household bills and reconciliation, spotting any problems arising in the house and resolving.

Hours 11.00am - 6.00pm

This is a one year maternity cover to hand over mid September 2019 supporting a globe trotting American UHNW individual (some of which could be remotely in time).  He is heavily involved in USA investments in tech and travels to USA 2 weeks of every month and usually in London 3 - 4  months of the year.  You will be highly organised, experienced at this level (essential) with cv demonstrating PA skills of a high level to an UHNW/HNW individual on a one to one basis.  Polished and well spoken, a flexible organiser with a can do attitude you will have a good understanding of the expectations of a HNW family and the level of lifestyle and preferences they have.  Out of hours sometimes but not regularly.  Discreet and efficient, able to work alone and probably some of the work done remotely in the future.  You will have a high level of experience supporting in both a corporate and private capacity.  Degree standard with a background at Principal or CEO level and experience in investments or similar and private support will be required within a boutique environment.
