We are seeking a highly organized and proactive individual to join this very friendly team as a PA for a Private Family Office. This is a very interesting and progressive role for someone wanting a fast paced role within an UHNW Family Office. Fabulous offices and working culture.

  • Providing PA support to the very busy and hands on Operations Director.
  • Diary and inbox management, scheduling travel, producing travel itineraries.
  • Always be one step ahead, pre-emptive and reminding.
  • Assisting with meticulous property management list keeping. Liaising heavily with contractors in a confident manner.
  • Attending servicing appointments – reporting back to operations team.
  • Prepare and organising documents, presentations, updating spreadsheets.
  • Assisting with various projects: refurbishments, researching tasks e.g., sourcing furniture, purchasing etc.
  • Ability to manage and deliver on some ad hoc basic research projects, e.g., Events Management, Complex luxury holidays, the Fine Art portfolio and the Family Car Fleet etc.
  • Handle confidential and sensitive information with utmost discretion and always maintain strict confidentiality.
  • Handle expense reporting and financial matters, including reconciling receipts, tracking expenses, and preparing reports.
  • Be confident liaising with Family members, domestic and office staff.
  • High levels of cooperation with other team members and demonstrating a strong commitment to team values.

Experience 

  • Strong PA experience. The position will be extremely varied – no two days are the same, ability to multitask and adapt is essential.

A superb role has arisen for a degree standard  Senior Private PA with 8/10 years + as a Private PA (essential) and in depth experience with large renovations and recruiting/mentoring household staff (both in the UK and Europe).

Supporting a very hands on and likeable Principal who has 4 grown children and 5 properties (to include a large central London home, ski chalet and country estate) all fully staffed.

You will lead by example and be very hands on and flexible.  Able to build relationships quickly and be at the front of the recruitment process with regards to Household Staff and keeping things running smoothly.  Staff management and pre-empting problems will come as second nature to you and you will be a collaborative team player who is able to get the best out of people.       

You will travel to the various properties about once every two months and spend a little time at the ski chalet during the season.  Flexible to travel should there be an urgent matter that needs attending.

The Principal will count on you to be a true right hand in all aspects so your reliability and commitment must be 100%.  Able to think outside of the box and contribute when needed the Principal is involved in all aspects of the design and rebuild of their large Central London property and dealing with the other properties so you will work closely with the Principal throughout the renovation.  You will organise maintenance, suppliers, trades and schedules for the properties and keep everything up to scratch.

The house in Central London will be where your office will eventually be situated.  You will have excellent emotional intelligence and be able to judge circumstances clearly and make good judgement calls.

Project manage any household repairs/purchases and necessary requirements.  Negotiating with suppliers and keeping up to date with current trends.  Research for the Principals on both business and personal matters.  Dealing with service provider for technology for the household and security matters.

Dealing with the management of a high level art collection and all insurances required for the household.
