Executive Assistant - UHNW Family Office, Knightsbridge

This is an interesting an involving role for someone with a boutique background within a Family Office or similar.  Supporting an UHNW individual in his broad interests, investments, art and his Foundation.

This role is ideal for someone who is used to running an office and the financial side of matters on a day to day basis and happy to liaise with accountants and professional when required also.

Working with a Chief of staff and two other staff members where everyone chips in to help so a roll up the sleeves way of working and a positive and helpful personality is essential.  Many projects on the go and you will be able to see them through from start to finish.  Able to produce quality reports, documents with precis attention to detail.  Involvement in interesting projects within the Foundation within historic buildings, the arts and an overseas charity

HMO Inbox management, calls and gatekeeping  Diary management with day to day assistance with projects. Invoice processing for two entities (private office and the foundation), prepare payment authorisations for HMO to sign. Making bank payments for invoices. Setting up payroll payments. Accounting/finance queries for both entities. Point person for external accountants (annual accounts/corporation, tax/audit).  Financial research, dealing with all insurance (home, art, cars) Strategic partnership, research markets & potential competitors. 

The Family Office is going to move to new offices in Knightsbridge so involvement in a move would be a plus point.  Well presented and spoken and degree standard as there is liaison with high profile and high ranking officials with regard to upcoming events and matters within the Foundation.

There is real camaraderie in the office so you will be good humoured and happy to pitch in to get the job done.

This is a busy and interesting role for someone who has some experience as a business PA also. Based in  a beautiful Notting Hill house supporting a husband and wife (2 children over 12)

Well spoken and presented with a high level of English written and spoken is essential.  Husband is involved in business projects so a good understanding of a business style is needed.

Being the main point of contact for Principal and his wife on personal and administrative matters & supporting the Principal and his wife with attention to detail and responsiveness to emails.

Ability to flag up priorities and respond accordingly

Assisting with any recruitment and management of Household Staff both in the UK and abroad, managing staff schedules and implementing staff policies and procedures

Arranging any private events/entertainment/dinners for the family Arranging complex travel and detailed itineraries to include private and commercial flights for the Principal and his wife when required. 

Arranging any visas, currency, stop overs, hotel reservations, cars or transport required

Keeping up to date with any insurances on cars, medical, household / assisting the Family Office with these matters when required.

Working closely with the Principal, his wife and/or the Family Office with regard to property matters, refurbishments, dealing with trades & contractors Maintaining any private memberships, clubs, golf club membership, gym etc. for the family members

Sourcing personal & business gifts for colleagues, family members and friends

Dealing with invoices & expenses for the Principal and his wife Running errands, arranging deliveries, researching and any ad-hoc tasks

Arranging calls/meetings across different time zones for the Principal & family members when required

Providing diary management for the Principal and his wife when required

Occasional support outside of normal hours when urgent

This is the ideal role for someone who enjoys a very busy and varied role supporting this uber busy CEO with both her business requirements (Tech Investments) and private support.  New offices being sought  in Mayfair and visiting the fabulous Belgravia house when needed.

Degree standard, able to sit in business meetings (tech investments) and take notes, compile a check of forward action points and follow up.  Extensive and busy diary management and business travel/expenses etc.  Top eye for detail, on the ball and happy to juggle a busy and interesting day. Collate all paperwork before each meeting and research on clients and full briefing to CEO before meetings. Field calls, inbox management and flagging up important issues.

A very busy household so you must have very good experience dealing with all household matters, budgets and staff. Liaising with household staff and assisting with rotas and recruitment (nannies, housekeepers, driver, chef etc).  Keeping household budget up to date.  Arranging all personal appointments and travel/holidays, private jets and itineraries, personal shopping occasionally and assisting with private school matters for the 2 young children.

This is an interesting , fast paced and very varied role covering both the business and private support of this very successful and likeable CEO of a City Investment Company.  Degree standard, on the ball and happy to cover both business and private matters for this very likeable and extremely busy CEO.

Sitting in on Board Meetings and taking minutes - able to follow up so that the CEO has everything he needs back to deadline.  Sitting within the investment team this is a 1:1 role of great importance to the CEO.  Articulate, educated and used to the standard this CEO would expect.  A background in investments, finance, hedge or private equity is needed for this role. Able to monitor the inbox and reply when required. Exacting diary/logistics management.  Preparation of all paperwork before meetings, research and preparation of meeting packs.  Arranging all business travel for the Principal with a detailed itinerary and all necessary Covid information.  Interacting with various portfolio companies.

Assisting to support the immediate family across a wide range of matters from diary management to admin support.  Administration of properties, payment of bills and renovations.  Management of sailing boat, arranging events, private dinners and family events.

Assisting with the family's charitable foundation, expenditure and taking minutes of monthly meetings.

I have the pleasure of working with this well established and highly successful fast fashion supplier close to Aldgate to assist them in finding a Personal Assistant for their wonderful CEO/Co-Owner.

She needs her Personal Assistant to support across private and business needs. She is driven, hands-on and so someone calm, together and organised would suit well. Someone who is trustworthy, friendly, approachable and friendly!

You must have ample experience supporting as a PA/EA a role to senior level, we are open to industries though you must be used to a fast pace of working and ever changing requirements. The personality fit and desire for a long term role is essential (her prior PA was with her for 9 years).

Daily you will assist with extensive diary management, personal and business, meeting and appointment scheduling including for her family including children, travel organisation, inbox management, personal administration, event planning, liaising with the household staff, running errands, light office management alongside the Receptionist such as setting up meetings, ordering supplies and more. You will be your CEOs right hand, supporting where you can.

A busy and engaging role you will want to work full time in the office alongside your CEO and team (approx 120 people in the office) - she is respectful of out of hours contact. You can choose your hours between 8am - 5pm, 8 - 5 or 9am to 6pm. You will also finish early on a Friday (3/4 or 4 dependent on your start time).

Private PA - (Travelling to Dubai)

Supporting an UHNW in Central London with maybe a couple of trips to Dubai a year to assist the Principal with projects/property matters.  Flexibility is key and some knowledge of Dubai and all that it has to offer is a major plus. When in Dubai an apartment or hotel will be provided during your stay there.  You must have experience as a dedicated Private PA for 4-5 years+ to be considered for this role.

Based in London the majority of the year with easy access to Mayfair to support the Principal with a wide range of duties, your flexibility and experience as a Private PA will come to the fore.  The Principal has a love of fashion and latest trends and you will be asked to shop occasionally and liaise with the personal stylist from time to time.

Well spoken and presented with a helpful personality is essential and a wide knowledge of London with regard to venues, restaurants, gallery openings and events.

The role will require that you have good tech skills and able to put together a PowerPoint presentation/Excel spreadsheet as the Principal will be getting involved in different ventures that you will be involved with.

A bright and positive nature and accustomed to supporting UHNW/HNW with an understanding of the level of support that is required.  

Running a constantly changing diary and travel schedule (commercial and private jet) and happy to roll up your sleeves to run errands, purchase luxury items and plan a busy forward diary with the Principal.

Courteous with a top can do attitude is essential for this role.  Able to liaise with household staff preparing arrivals of the Principal when required.  Flexible with regard to last minute requests and changes and happy to travel on short notice occasionally.
